Policies
Policy 3‑10 — Drop Out / Withdrawal
This policy outlines how Medavie HealthEd (MHE) manages situations where a learner chooses to leave their program after it has begun. A learner who formally withdraws is recorded as a “dropout/withdrawal” in their file.
The policy ensures that learners may leave the program voluntarily and without pressure to reveal personal details. MHE staff will explore reasonable options to help the learner remain enrolled—such as academic, personal, or financial supports—provided these options do not impose costs on the institution. If the learner chooses to pursue an offered solution, this must be confirmed in writing within the required timeframe. Learners who complete a withdrawal may be eligible for tuition refunds according to the institution’s Refund Policy.
For further information refer to Policy 3‑10 in the MHE Policies and Procedures Manual.
Policy 4‑70 — Learner in Good Standing
A “Learner in Good Standing” is one who consistently meets all institutional expectations across academics, professionalism, attendance, clinical/practicum requirements, health documentation, financial obligations, and compliance with all MHE policies.
This designation is essential, as learners must be in good standing to participate in classes, simulations, clinical/practicum placements, assessments, and to access institutional supports or resources. Requirements include maintaining satisfactory academic progress, demonstrating professionalism in conduct and communication, following safety and confidentiality rules, keeping immunizations and background checks up to date, and meeting all payment schedules.
Loss of good standing may occur due to academic difficulties, behavioural or professionalism concerns, attendance issues, unmet clinical requirements, or outstanding financial balances. Consequences may include restrictions on program participation, placement removal, suspension, or dismissal. Learners may regain good standing by resolving the underlying issues and meeting all corrective expectations.
For further information refer to Policy 4‑70 in the MHE Policies and Procedures Manual.
Section 11 — Complaints (Complaint Resolution Process)
This policy establishes a clear, respectful process for learners to raise concerns about their learning experience or institutional services, without fear of reprisal. Medavie HealthEd is committed to high‑quality education and responsive resolution of concerns.
The policy defines two pathways:
Informal Resolution, which encourages learners to speak directly with the staff member involved to clarify the concern and work collaboratively toward a solution; and
Formal Resolution, used when informal steps are not appropriate or do not resolve the issue. Formal complaints must be submitted in writing and will be investigated by an appropriate administrator. All parties have the right to be heard, and confidentiality is respected throughout the process.
The policy also explains group complaints, timelines for submission (typically within 30 days), and the right to escalate unresolved matters to the provincial regulator when applicable. If a learner believes a complaint was handled unfairly, they may appeal through the institution’s appeal process.
For further information refer to Section 11 in the MHE Policies and Procedures Manual.
